Enabling QuickBooks Module in a Trading Partner

Configuring QuickBooks settings for a trading partner in CommerceJet streamlines the management of sales orders and receipts. Follow this guide to set up the integration accurately.


Step 1: Access Trading Partner Settings

From your CommerceJet Dashboard, navigate to the side menu and select Trading Partners. Choose the trading partner linked to QuickBooks and click View.


Step 2: Manage QuickBooks Settings

Click on Manage next to QuickBooks on the right side of the page. This will take you to the Manage QuickBooks Settings for Trading Partner page, where you can configure settings specific to this trading partner.


Step 3: Configure Sales Receipt Settings

  • Sales Receipt Creation Event: Choose when a sales receipt is created in QuickBooks. Options include SalesOrder is Created/Approved and SalesOrder is Invoiced. For this tutorial, select SalesOrder is Created/Approved.
  • Sales Receipt Number: Determine how sales receipt numbers are labeled. Options include Auto-generated by QuickBooks, SalesOrder ID, or SalesOrder Purchase Order Number. Select SalesOrder ID for this tutorial.


Step 4: Configure Customer Name Format

  • Primary Customer Name Format: Select the format for matching customers between CommerceJet and QuickBooks. For this tutorial, select Company Name.
  • Alternative Customer Name Format: Set an alternative rule if no match is found with the primary rule. If no match is found, a new customer will be created in QuickBooks.


Step 5: Configure Additional Fields

Customize additional fields based on your trading partner’s needs:

  • SalesReceiptClass, SalesReceiptSite
  • SalesReceiptDiscountItemName, SalesReceiptShippingItemName
  • CreditMemoShippingItemName, CreditMemoAdjustmentItemName

These fields offer further customization to align with your partner’s requirements. Fields marked with an asterisk (*) are required for setup completion.


Step 6: Enable and Save Settings

After double-checking all details, click Enable to activate these settings. Then click Update to save and apply your new QuickBooks settings for the trading partner.


Success!

Your QuickBooks settings for this trading partner are now configured in CommerceJet. You’re ready to manage sales orders and receipts seamlessly with QuickBooks integration.
